Job Description

Position Overview:

The Senior Manager, Development Operations reports directly to the Vice President of Development and leads the daily operational activities of the fundraising department. This role ensures accurate gift processing, data integrity, and efficient campaign support while managing the donor services team. The role also provides financial analysis, supports forecasting, and oversees system and project management improvements that enable fundraising performance and scalability.

Core Responsibilities:

Staff Management & Operations

  • Supervise and develop donor services staff responsible for gift processing, receipting, and acknowledgments.
  • Establish, document, and maintain operational policies and procedures.
  • Drive continuous improvement and efficiency in fundraising workflows.
  • Oversee staff training and support, as well as coordinate cross-functional teams.

Database & CRM Management

  • Oversee data hygiene, segmentation, and tagging in the CRM system.
  • Serve as primary CRM liaison with IT and vendors to maintain and improve platform usability.
  • Lead reporting dashboard development and data tool enhancement.
  • Coordinate fundraising campaign logistics, segmentation, and list pulls.

Gift Processing & Stewardship Support

  • Ensure timely and accurate processing of all donations, pledges, and acknowledgments.
  • Monitor pledge fulfilment, renewal tracking, and adherence to gift acceptance policy.
  • Collaborate with stewardship and donor communications teams to support timely touchpoints.

Mail Processing & Logistic s

  • Oversee the production and segmentation of mailing lists in collaboration with donor communications and external vendors.
  • Manage incoming and outgoing donor mail, working with mail houses and postal services.
  • Reporting, Budgeting & Forecasting
  • Generate and distribute recurring performance dashboards and revenue reports.
  • Provide budget and forecasting support to the Development leadership team. Serve as liaison with Finance to align reconciliation, coding, and forecasting models.

Systems Optimization & Project Management

  • Lead fundraising systems improvement projects, platform transitions, and operational change initiatives.
  • Apply project management best practices across cross-functional initiatives.
  • Ensure scalable systems and processes are in place to meet the fundraising team's needs.

Key Relationships

  • Reports to: Vice President of Development
  • Direct Reports: Senior Donor Services Coordinator
  • Works closely with: IT, Finance, Programs, Marketing & Communications, Fundraising Teams

Requirements:

  • High proficiency in CRM systems (Salesforce preferred) and Excel
  • Strong analytical, organizational, and interpersonal skills
  • Experience with project management, data visualization, and process improvement tools is a plus

Education & Experience:

  • AD + 5 Years, or BA/S + 7 Years
  • 3-5 years of relevant experience in development operations and/or education
  • Strong leadership and organizational skills to set priorities and manage time; ability to work on multiple short-term and long-term projects at once.
  • Excellent communication skills; efficient problem-solving ability; strong project management skills
  • Ability to develop oneself and others
  • Advanced experience with CRMs (Salesforce preferred) and Microsoft Office Suite (Word, PowerPoint, & Excel)
  • Technically adept; efficient at learning new software
  • Willingness to internalize PFI’s mission, vision, values, and statement of faith
  • Friendly, professional, and helpful attitude; a self-motivated team player

Work Status

  • Full-time, exempt, in-office position, working at least 37.5 hours per week.

Travel

  • ≤5% travel (limited domestic travel as needed)
