Job Description

Our client, a Public Accounting firm in Latham, NY, is seeking a Tax/Assurance Operations Administrator . This person will play a critical role in ensuring the smooth operation of tax and assurance functions. This position requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

• Perform typing duties, including creating and updating financial statements, conducting math checks, and making formatting changes.
• Convert financial statements (FS) to PDF format and manage the final printing process.
• Assemble and bind financial statements for client distribution.
• Process and scan paper client organizers and tax documents into Axcess Tax software.
• Assemble completed tax returns via paper or PDF and deliver to clients through Safe Send.
• Follow up with clients to confirm the receipt of signature forms and completed tax returns.
• E-file completed tax returns and monitor their status.
• Maintain and update client profiles in Axcess Client Manager, including adding new clients and inactivating existing ones.
• Create and monitor new projects in Workstream, including rolling projects forward, marking them as complete, and ensuring all necessary sign-offs are obtained.
• Upload client files to Document (file storage database).
• Set up client Portal accounts for efficient data exchange.
• Process, assemble, and e-file 1099 forms.
• Manage office telephone and handle incoming and outgoing mail.
• Coordinate outgoing shipments via FedEx, UPS, and USPS.
• Assist with various tasks and projects as needed.

Qualifications:

• At least 3 years’ experience working with Microsoft Word and Excel.
• Ability to learn new technology quickly.
• Excellent project management and organizational skills.
• Demonstrated ability to handle various audit and tax responsibilities in a friendly, professional manner.

Hourly Rate:

• $23-$29 per hour

• On-Site in Latham, NY
