Role Summary

Acting as the first point of contact for all administration related queries from employees and external partners. The Administrator will provide timely and accurate administrative support to the busy Houston operations team including maintaining employee records, assisting with employee benefits material, managing documents and updating internal databases to ensure data is up to date, accurate and complies with legislation. Key duties and responsibilities include, but are not limited to:

Administration

  • To administer starter / leaver processes including all documentation, induction processes and exit
  • interviews
  • To maintain and update electronic record systems where applicable
  • To assist with training administration including booking venues, liaising with course providers and
  • attendees and maintaining training records
  • To assist in the preparation, as required, of management reports on employee-related data to assist
  • with the management and development of staff
  • To provide general administration support to the operations department as required including filing,
  • telephone answering, scanning, photocopying and emails.

Crewing and Onboarding

  • To provide administrative support to the crewing process including:
  • Travel coordination for both offshore and onshore
  • Documentation collation and updating
  • To assist in the required pre-employment checks, updating and discussing with Operations Team
  • To ensure all new joiner paperwork is completed and relevant information provided to Payroll and
  • benefits providers for processing.

Payroll

  • To assist in the preparation of information to be provided to the outsourced payroll provider to ensure
  • staff are paid correctly and on time.

General

  • Directly supporting the President of ROVOP Inc. with meeting organization, expense reports and day
  • to day business needs
  • To maintain appropriate confidentiality of information relating to the Company and its staff and
  • maintain compliance with the GDPR
  • Cross train with the current Crewing Coordinator and Supply Chain Coordinator in order to provide
  • cover during any absence
  • Any other duties as required.

About You

You should have previous experiencing working within an administrative environment and be PC literate with proven experience and knowledge of Microsoft Office Packages including Word, Power Point, Outlook and Excel.

The candidate should be personable and able to engage support and co-operation at all levels. With good communication, organisational skills and Presentation skills.
