Job Description

Adams & Martin Group has partnered with a well-established, mid-sized law firm in Costa Mesa is seeking a Litigation Legal Secretary to support a busy team of attorneys. The ideal candidate will be highly organized, detail-oriented, and experienced in litigation support, with a solid understanding of California state and federal court procedures. This role is critical in ensuring that all legal documents, filings, and deadlines are handled with accuracy and professionalism.

Key Responsibilities:

  • Draft, format, revise, and finalize legal documents, correspondence, memos, and emails from written drafts and transcription.

  • Prepare and assemble documents and exhibits for court filings, hearings, arbitrations, depositions, mediations, and other legal proceedings.

  • Proofread all outgoing documents for grammar, spelling, and compliance with firm formatting standards.

  • Sort, review, and distribute incoming mail and emails to appropriate parties.

  • Schedule appointments, meetings, and conference calls for attorneys.

  • Maintain and manage attorney calendars, ensuring all key deadlines and court dates are recorded and monitored.

  • Organize and maintain client and chronological files (electronic and hard copy).

  • Track litigation deadlines to ensure full compliance with applicable court rules and procedures.

  • Coordinate attorney travel arrangements including flights, accommodations, and ground transportation.

Qualifications:

  • Minimum of 3-5 years of litigation legal secretary experience, including state and federal court filings.

  • Familiarity with eminent domain/inverse condemnation matters is a plus but not required.

  • Strong working knowledge of California court procedures, particularly electronic filing systems.

  • Proficiency in legal terminology, legal formatting, and litigation processes.

  • High-level accuracy in typing, proofreading, and document preparation.

  • Advanced proficiency in Microsoft Office Suite (Word, Outlook, Excel, etc.) and familiarity with legal document management systems such as iManage or NetDocuments.

  • Excellent organizational and time management skills, with the ability to handle multiple priorities efficiently.

  • Strong interpersonal and communication skills for effective interaction with clients, attorneys, vendors, and staff.

  • Competency in using standard office equipment, including transcription tools, photocopiers, and fax machines.
